About The Role: We are looking for a Project Administrator to provide efficient administrative and coordination support to the Retrofit programme, ensuring that all documentation, records, communications, and processes are managed in line with project timelines and compliance requirements. The postholder will act as a key point of contact between the internal team, contractors, residents, and stakeholders. Hours: 40 hours per week, typically worked between 8:30am and 5:00pm Key Responsibilities: Maintain accurate and up-to-date records of retrofit projects using project management tools and systems. Organise meetings, take minutes, and follow up on actions as required. Assist in the preparation and submission of reports, documents, and compliance records. Support the coordination of site visits, surveys, contractor schedules, and tenant communications. Help track project progress against milestones, flagging delays or issues to the Retrofit Project Manager. Support tenant engagement by coordinating communication and documentation for retrofit works. Maintain a resident log, ensuring concerns or questions are recorded and responded to appropriately. Ensure all required documentation (PAS 2035, EPCs, risk assessments, etc.) is collected and stored correctly. Help monitor project KPIs and ensure data is collated for reporting to funders or regulators (e.g., SHDF, LAD). Assist with the processing of invoices, purchase orders, and contractor paperwork. Maintain budget trackers and expenditure logs where required.
