We are seeking an organised and proactive Project Assistant/Administrator to join our clients growing team. This role is central to the smooth running of their business and offers the chance to work closely with project managers, coordinators, and field staff to ensure everything runs seamlessly behind the scenes.
This is a varied position that requires attention to detail, excellent communication skills, and the ability to balance multiple priorities. You’ll play a key part in keeping projects on track, supporting their teams, and ensuring clients receive the highest standard of service.
What you’ll do:
Collect and verify employee timesheets, calculate overtime, and ensure accuracy before submission to payroll
Prepare costing sheets and sales invoices, checking all details meet client contractual rates and submitting with the correct documentation for timely payment
Track employee schedules and daily whereabouts, ensuring compliance and efficiency across teams
Respond to queries from clients and staff, directing them to the right people and maintaining clear communication records
Answer phone calls, capturing key information for compliance and audit purposes
Maintain accurate spreadsheets tracking jobs, hours worked, and company data
Process purchase invoices and ensure timely sign-off for payment
Assist project coordinators and managers with scheduling, planning, and future work allocation
File and organise timesheets, job sheets, and invoices to ensure they are audit-ready
Monitor office supplies and order stock as needed, keeping accurate records for compliance
Check that job records are up to date, work is invoiced, and documentation is complete
Support HR processes including new starter forms, holiday and absence tracking, and training compliance
What we’re looking for:
Experience in administration, finance, or operations support
Strong organisational and problem-solving skills with a keen eye for detail
Confident communicator with the ability to work well across teams
Comfortable managing multiple responsibilities in a fast-paced environment
Proficient in Microsoft Office (particularly Excel) and confident using spreadsheets and databases
