The Role
We’re seeking a dynamic Executive Assistant & Office Manager to support the CEO and help run our office efficiently. This high-responsibility role blends office management, executive support, personal assistance, project coordination, and HR functions. The ideal candidate is detail-oriented, proactive, and thrives in fast-paced environments.
Key ResponsibilitiesOffice Management
Oversee daily office operations, supplies, and equipment.
Greet visitors, maintain a presentable office space.
Manage phone systems, IT coordination, and filing (OneDrive).
Handle mail, ensure compliance with health, safety, and fire policies.
Monitor and enforce internal policies and procedures.
Schedule and track maintenance and service providers.
Prepare weekly board reports using Asana and spreadsheets.
Executive Assistance
Manage CEO and directors’ diaries and appointments.
Attend and minute board/senior meetings.
Coordinate internal/external communications and follow-ups.
Manage invoices, expense reports, and budget tracking.
Administer vehicle documentation and renewals.
Personal Assistance (CEO & Family)
Handle calendars, household schedules, and travel bookings.
Liaise with tutors, research developmental activities and holidays.
Purchase online items and manage subscriptions/memberships.
Assist with legal, financial, and insurance matters.
Provide 24/7 availability for urgent ad-hoc personal requests.
Coordinate with household staff and service vendors.
Assist CEO’s spouse with administrative tasks.
Project Management
Track and follow up meeting action points.
Maintain and manage project boards in Asana.
Monitor deadlines and task completion.
Coordinate status meetings and keep thorough records.
Human Resources
Set up and maintain HR systems and documentation.
Onboard/offboard staff, create employment contracts.
Administer holiday systems and enforce scheduling rules.
Maintain compliance with sponsor license obligations.
Track daily attendance, KPIs, and generate monthly HR reports.
Manage staff updates and engagement on Microsoft Teams.
Ideal Candidate Profile
Experience
Proven experience supporting senior leadership.
Background in property/construction is a plus.
Skills
Strong multitasking, prioritizing, and organizational ability.
Excellent verbal and written communication.
Proficiency in Microsoft Office and Asana.
Familiar with Zoom/Teams.
