We have a great opportunity for an Office Administrator to join our team within Vistry West London, at our Ealing office. This is an ideal role for a competent administrator who will report into the Office Manager. This varied role will suit an organised and flexible individual who enjoys working in a fast-paced environment.

GCSE in maths and English (or equivalent) at grade C or above
Administration positions held previously
Previous office environment experience
Worked in a reactive & fast-paced position previously
A high standard of IT literacy, including full proficiency in Microsoft 365 – Word, Excel, Teams, SharePoint, Outlook, OneDrive
Demonstrable process implementation skills, including workload management
Knowledge of principles and practices of basic office environment
Knowledge of clerical and administrative procedures and systems such as filing and record keeping
Organised and efficient
Ability to work on own initiative and as part of a larger team
Excellent communications skills
Experience in working in a fast-paced, changing environment where priorities can change daily
Full time position 8.30am – 5pm

Previous housebuilding/construction experience

Answering Reception telephone calls
Greeting visitors / answering the doorbell – manage people signing in and give out security passes
Assisting with all Post – collecting from downstairs, sending, receiving & distributing
Franking Machine maintenance
Parking App management
Raising POs/ process invoices
Assist with IT requirements
Maintain Site teams/addresses
Assisting with H&S requests for office
New Starters – create key fobs, introductions around the office
Coffee machine – maintenance and keeping in good working order
Manage and order supplies of tea/coffees etc
Milk / fruit orders
Stationary orders
First Aider / Fire Marshall
Fire drills
Working closely with all parties, the landlord, maintenances team (Phosters), Cynergi etc
Office Maintenance
Assist all teams with general admin duties as needed
Assist with WL team & charity fundraisers events
