Job Title: Administrative Assistant / PA – Arabic and English Speaker
Location: Surrey, On-site (5 days per week)
Pay: £17 – £19 per hour PAYE
Hours: Full-time, 40 hours per week
Contract Type: Temporary Ongoing
Role Overview:
We are looking for a proactive and highly organised Administrative Assistant / PA to join a busy and fast-paced project team. This role is hands-on, offers variety, and will suit someone who can multitask, take initiative, and communicate effectively in both English and Arabic. Strong Microsoft Office skills are essential.
Main Responsibilities:
Coordinate workspace and furniture arrangements for team members joining or leaving
Organise visitor passes and manage security clearance processes
Arrange local transport and taxis for guests and staff
Act as a point of contact for IT support, assisting with meeting room tech and other technical needs
Oversee meeting room schedules and catering arrangements, and liaise with food service providers for refreshments and supplies
Ensure printers and photocopiers are maintained and stocked
Book business travel and handle associated expense claims
Maintain accurate records using SharePoint, including leave tracking, IT equipment inventory, catering orders, and correspondence logs
Perform daily administrative duties using SharePoint, Excel, Word, and DocuSign
Support documentation and records management as needed
Personal Assistant Responsibilities:
Act as a key liaison with stakeholders, ensuring clear and effective communication in Arabic and English
Arrange both domestic and international personal travel for senior staff and their families
Provide relocation support, including accommodation, schooling, and transport for project team members and their families moving to the UK
Manage calendars, coordinate stationery orders, and communicate meeting details to ensure day-to-day operations run smoothly
What We Are Looking For:
Fluent in both Arabic and English – this is a mandatory requirement
Previous experience in an administrative role, with strong proficiency in Microsoft Office
Presentable, professional, and an effective communicator
Self-starter with the ability to act on initiative and manage time independently
Strong organisational and multitasking capabilities
Must be comfortable working full-time on-site
Experience in providing personal assistance and working with international stakeholders is highly advantageous
