Role Overview
We are seeking a skilled and experienced Senior Property Portfolio & Operations Manager to oversee day-to-day operations across our expanding property group. Reporting directly to the Board, you will lead all operational, strategic, and financial aspects of our property and block portfolio, ensuring efficiency, compliance, tenant satisfaction, and portfolio performance.
This is not just a traditional property manager role. The successful candidate must have proven experience managing block properties, service charge administration, and negotiating institutional-style leases—including agreements with housing associations, care providers, and local councils. The role is ideal for someone from a business or family office background rather than high street estate agencies, as it requires commercial acumen and strategic leasing capabilities.
Key Responsibilities
Portfolio Operations: Manage day-to-day operations of residential and block-managed properties, ensuring legal compliance, maintenance standards, and tenant satisfaction.
Block & Service Charge Management: Oversee all aspects of block management, including setting and managing service charges, liaising with leaseholders, managing building maintenance contracts, and ensuring regulatory compliance.
Commercial-Type Leasing: Negotiate and manage “commercial” lease agreements (non-AST), such as those with housing associations, care operators, and local authorities. Identify, approach, and secure institutional tenants.
Tenant Relations: Act as the senior liaison for all tenant types—residents, leaseholders, and institutional partners—ensuring excellent communication and service delivery.
Maintenance Coordination: Lead regular inspections, coordinate maintenance schedules, and manage contractors to maintain property quality and safety.
Financial Oversight: Prepare budgets, monitor expenditure, manage service charges, oversee rent and income collection, and report to the Board on financial performance.
Strategic Operations: Collaborate with senior leadership to develop operational strategies aligned with long-term business goals, including diversification of lease structures and portfolio enhancement.
Process Improvement: Implement systems and procedures that improve operational efficiency, standardize reporting, and ensure service consistency.
Cross-Functional Management: Liaise with finance, marketing, sales, and legal teams to align property strategy with overall business operations.
Team Leadership: Hire (with approval), manage, train, and develop operational and property staff. Instill a culture of service excellence and high performance.
Technology Integration: Use property management software and automation tools to enhance workflow and data accuracy.
Risk & Compliance: Ensure all properties operate within legal frameworks, proactively manage risks, and maintain high standards of governance.
Marketing & Brand Support: Support efforts in branding, PR, and business development to enhance the company’s market presence.
Essential Experience & Competencies
We are looking for a proactive, confident individual with a strong operational background, ideally gained within a business or family office environment rather than a traditional estate agency. The ideal candidate will demonstrate:
Proven block management experience, including service charge handling and residential building compliance.
Strong knowledge and experience in commercial-style residential leases, such as those involving housing associations, supported living providers, and councils.
Ability to source and negotiate institutional lease partners, including managing complex lease terms and long-term agreements.
Familiarity with lease compliance, property laws, and housing regulations.
Experience managing mixed-tenure portfolios, with a focus on maintaining standards and improving asset value.
Strong leadership, communication, and reporting skills, capable of engaging with internal teams and external stakeholders.
Professional appearance and conduct that aligns with brand positioning.
Hands-on, self-motivated, detail-oriented, and adaptable to changing demands.
Qualifications
Degree in Property Management, Real Estate, Business Administration, or a related field.
Minimum 3 years’ experience in property and block management, preferably in the Greater London area.
Proficiency with property management software and Microsoft Office tools.
Valid UK driving licence (required).
